Overview
Rotation to Residency (https://www.rotationtoresidency.com) helps doctors, nurses, residents, and other healthcare professionals find discounted hotel stays near hospitals for rotations and short-term assignments. We built this site to be simple and transparent. We do not sell personal information or run public user accounts. We do not use third-party advertising networks to show ads on this site.
This policy describes what we collect, how we use it, and the choices you have. If you have questions, email Support@rotationtoresidency.com.
Information we collect
Discount code views. When you click to reveal a resident discount code on a hotel listing, we record that the code was viewed for that hotel and the date and time of the view. We do not ask for your name, email, or other identifying details for this feature, and we do not tie code views to a user profile. This helps us understand which partner offers are useful. Authorized staff can see aggregate counts in our admin tools.
First-party site traffic (aggregate). To understand how the public site is used, we record limited page-view events on our own servers: the page path, approximate location (country, region/state, and city derived from network geolocation at request time), a coarse device type (for example mobile or desktop), the hostname of the referring site when your browser sends one, anonymous random visitor and session identifiers (so we can count unique browsers and browsing sessions without knowing who you are), and the time of the view. We do not store your IP address in this analytics database, and we do not create a login profile for browsing. Authorized staff can review aggregates in our private admin tools. This first-party tracking does not require you to accept cookies.
Optional Google Analytics (cookies). If we have configured Google Analytics and you choose Accept analytics on our cookie banner, we load Google Analytics 4. Google may set cookies or similar identifiers on your device and receive information such as pages you view, approximate location, device/browser details, and referral information. We use this only to measure site usage and improve the product—not to show third-party ads on our pages. Google processes data under its own terms and privacy policy. You can decline analytics cookies; the site still works, and our first-party admin traffic charts continue without Google.
Browser storage for your convenience. After you reveal a code, your browser may store it in sessionStorage so you do not have to reveal it again during the same visit. Your analytics choice (accept or decline) may be stored in localStorage so we remember it. We may also store random anonymous visitor and session IDs in localStorage for first-party traffic counts. That storage stays on your device and is not your name or email.
Contact form (only if you send a message). If you choose to contact us, we receive the name, email address, and message you submit. We use that information only to read and respond to your inquiry. Messages are delivered to our support inbox through our email provider (for example, Resend) or, when configured, Web3Forms. We do not use contact submissions for marketing lists.
Basic technical data. Like most websites, our hosting provider may process standard server logs (such as IP address, browser type, pages requested, and timestamps) to deliver the site securely and diagnose errors. We use short-term, in-memory rate limiting on some requests to prevent abuse; those limits are not stored as a long-term visitor profile.
Admin access only. Staff who log in to our private admin area receive a secure, httpOnly session cookie. Public visitors can browse hotel listings without creating an account.
Information we do not collect
We do not require you to create an account to browse listings. We do not collect payment card numbers or complete bookings on our site — reservations happen on third-party hotel or booking websites you choose to visit. We do not knowingly collect information from children under 13.
How we use information
We use the limited information described above to:
- operate and improve the website and hotel listings;
- show discount codes when you request them;
- measure how often partner discount codes are viewed (without identifying you);
- understand aggregate site usage (popular pages, approximate regions, devices) to improve the product;
- respond to messages you send through the contact form;
- maintain security and prevent abuse.
We do not use your information to run third-party advertising on this site. If you accept Google Analytics, Google may use data as described in Google's policies for Analytics products.
Third-party services and links
Our pages may link to external booking sites, Google Maps, and hotel review pages. When you leave our site, those third parties handle information under their own policies. We also rely on infrastructure and service providers (for example, hosting, image delivery, email delivery, open mapping/geocoding services, and—when enabled and consented—Google Analytics) to run the platform. They process data only as needed to provide their services to us, except where their own product terms apply (such as Google Analytics).
Hotel photos may be hosted on Cloudinary. Map embeds and driving-distance estimates may use third-party mapping services. Those providers may receive technical data such as IP address when your browser loads their content.
How long we keep information
Discount code view records and first-party page-view records are kept in our database so we can review partner performance and site usage over time. You can ask us about retention by contacting Support@rotationtoresidency.com. Contact form messages are kept in our email systems for as long as needed to handle your request and for our ordinary business records. Google Analytics retention follows the settings we configure in Google Analytics and Google's policies.
Your choices
You can browse listings without revealing a discount code. You can clear site data in your browser to remove stored discount codes, your analytics preference, and anonymous visitor/session IDs (which resets unique-visitor counting for that browser). You are never required to use the contact form.
If Google Analytics is enabled on the site, you can Accept or Decline analytics cookies via our banner. You can change your mind later by clearing site data for this website (which resets the banner) or by using browser controls that block analytics cookies. Declining does not turn off our first-party admin traffic logging described above.
If you are in a region that grants additional privacy rights, you may contact us to request access to or deletion of personal information you have provided directly to us (such as a contact form submission). Because discount code views and first-party page views are not linked to your identity, we may not be able to identify or delete those events individually.
Security
We use reasonable technical and organizational measures to protect information we handle, including encrypted connections (HTTPS), restricted admin access, and secure session handling for staff logins. No method of transmission over the internet is completely secure.
Changes to this policy
We may update this Privacy Policy from time to time. The “Last updated” date at the top will change when we do. Continued use of the site after an update means you accept the revised policy.
